IDT EXPO manages and coordinates forum-like events for connecting innovators, investors, and users for technology in the energy industry.

This document outlines the process for the use, protection, and maintaining of your information. For purposes of this document “IDT EXPO” refers to both IDT EXPO and idtexpo.com. “Attendees” are defined as people who register online or attend IDT EXPO’s forums or events, either in-person or virtually via livestream. “Users” are defined as any user of the idtexpo.com website. “Affiliates” refers to the close affiliates of IDT EXPO, which includes IDT EXPO’s sister companies: ADV Integrity and ADV Marketing. “Partners” include any company that purchases sponsorships, exhibition space, or advertising from IDT EXPO or are otherwise involved with IDT EXPO events. By using this website, you agree to the following Terms & Conditions and Privacy Policy.

Privacy Policy

IDT EXPO is providing this detailed Privacy Policy that will be followed for any information provided to IDT EXPO. This Privacy Policy outlines how your contact details will be used to compile a future contact list that will be used by IDT EXPO, affiliates, and partners. Such affiliates and partners include:

  • IDT EXPO event organizers
  • Presenters/speakers, delegates, sponsors, and exhibitors

We collect the following information from you when you register for IDT EXPO events through the form provided on IDT EXPO’s website:

  • First & Last Name
  • Company Name
  • Phone Number
  • Email Address

In addition, the above information may be shared with companies that purchase exhibition privileges or certain exhibitor and sponsorship levels (i.e. Platinum, Gold, Silver, Bronze sponsorship levels) for IDT EXPO events and forums, or that sponsor the entirety of an IDT EXPO event. The information shared with these companies will include the name of the attendee, the attendance and/or registration status of the attendee for IDT EXPO events, and the attendee’s contact information. More information about the access of each level of sponsorship or exhibitor privileges to this information from Attendees is available on the Exhibitor page (https://www.idtexpo.com/exhibitor-sponsor-information/) of IDT EXPO’s website.

The contact information you provide may also be used in the email marketing platform Mailchimp. You can find Mailchimp’s privacy policy here: https://mailchimp.com/legal/privacy/. IDT EXPO and its affiliates, including ADV Integrity and ADV Marketing, will have access to the information you provide on IDTEXPO.com. This information may be used for promotional emails and e-newsletters that may be of interest to the user. These communications will be facilitated, designed, and coordinated in the Mailchimp Platform. Registration

To ensure accuracy of the registration process and complete communication to all parties, it is requested that each attendee register themselves individually. We realize that there are instances where that cannot or does not happen. In that case, if someone is registering on your behalf or you are registering someone else, it is your responsibility to be familiar with the terms and conditions of registering. You or the person registering on your behalf will be responsible for the information provided via the registration process.

Photography and Recording

As part of IDT EXPO, any events we host will be documented in various formats which include but are not limited to photographs for posting to social media, email marketing communications, and advertising purposes.  Video recordings may also be documented for social media and promotional / advertising purposes.

You grant IDT EXPO the right to:

Record (vocally and by photo) by means of photographs, video, and other means as determined for use for both audio and visual production (referred to as “recording”); Utilize these recordings (any or all) after edit and create posts via ADV Marketing, ADV Integrity and IDT EXPO social media or email marketing venues. These posts will be in forms which include but not limited to single or multiple photos, short videos, webinars and other methods as needed. Your name, voice and photo may or will be used.

If you wish to opt out of your information being used in this manner, please contact Wendy.Courtright@IDTEXPO.com at least 2 weeks before the event, webinar, livestream, or forum.

Cancellations & Refunds

It is your responsibility to notify us of your cancellation for attendance and participation at a scheduled event for which you registered. In the event of the cancellation of an Exhibitor or Sponsor, we have a no-refund policy. Special consideration may be made if the request is submitted in writing within 30 days (not business days) of the event date. Details of the request and situation must be clearly provided. Please contact IDT EXPO at least thirty days prior to the event via e-mail at Wendy.Courtright@IDTEXPO.com.

Indemnity

There may be instances beyond our control that a specific calendared event may need to be cancelled or rescheduled. You agree to hold harmless IDT EXPO from any costs, expenses or damages associated with the cancellation or rescheduling of an event.

Hold Harmless Agreement:

You are in agreement to hold harmless IDT EXPO and its affiliates (ADV Marketing and ADV Integrity) from any infringement or violation of your personal and / or property rights of any sort whatsoever based upon the use of the recording in any form as outlined above. You acknowledge that IDT EXPO will own all rights, title and interest (including copyright) of any photos or recordings, and you further acknowledge that IDT EXPO is not required in any way to use any of the photos or recordings. IDT EXPO may transfer these rights, title and interest (including copyright) of any photos and recording to any of its affiliates (ADV Marketing and ADV Integrity). You have assumed responsibility for entering into this agreement and the terms of this agreement do not conflict with any other existing commitment(s) on your part. You agree and understand that you will receive no remuneration for this recording. IDT EXPO will consider any reasonable request not to use or to stop using a particular recording if requested in a reasonable period of time.

Disclaimer

You acknowledge that IDT EXPO will make every effort to provide you with the most current information available for any event it hosts. This will include but is not limited to delegate listings (where applicable), final event agenda, as well as any requests received from speakers, presenters, exhibitors and delegates. IDT EXPO does not take responsibility for errors, omissions and changes to any program or the content of an event. IDT EXPO reserves all rights to make necessary changes and will not incur any penalty, not limited to but including refunds (full or partial) and alternative offers. You accept the fact that any changes as mentioned and implied happen beyond the control of IDT EXPO.

IDT EXPO, including officers, directors, employees, agents and any other affiliates directly connected with IDT EXPO (including ADV Marketing and ADV Integrity) will not be held liable for any damage, loss, claims, expenses or any liabilities that may arise out of any given event.
IDT EXPO reserves the right to update our Terms and Conditions, Disclaimer, and Privacy Statement without notice to you.

IDT EXPO cannot control all published, presented, or disseminated content on its social media platform or at its events. There may be instances where you find delegates’ or participants’ communications, presentations, or other sources inaccurate, offensive, or misleading. You alone are completely responsible for your interaction at any IDT EXPO events. You and other delegates agree to act responsibly, exercising caution and common sense while attending and participating in IDT EXPO events, or interacting with IDT EXPO content online.

Force Majeure

Neither you nor IDT EXPO, ADV Marketing, or ADV Integrity shall be liable for damages or have the right to terminate this Terms and Conditions and Privacy Policy for failure of or delay in performing its obligations if such failure or delay is the result of an act of God, such as earthquake, hurricane, tornado, flooding, or other natural disaster, or in the case of Government announcement to include but not limited to acts of war, action of foreign enemies, terrorist activities, labor dispute or strike, government sanction, blockage, embargo, or failure of electrical service, and/or any other cause beyond the reasonable control of the party whose performance is affected.

Every effort has been made to protect the site and your information. This document with any event registration constitutes the entire Terms and Conditions and Privacy Policy for IDT EXPO.  Edits and Revisions can and will be made as required and posted accordingly.
